How to Set Up Amenity Reservations

If you're on a paid Flamingo resident app, you can set up amenity reservations.

  • Login at Dashboard.GetFlamingo.Com
  • Dashboard.GetFlamingo.Com > Manage > Amenities > Amenities > + Add Amenity
  • Click +Add Amenity to add a new amenity
  • Add amenity Pictures, Amenity Name, Floor Location, Description
  • Then enter the following settings:
    • Share Amenity with other buildings -  select this option if you this amenity is shared with other buildings also on the Flamingo system
    • Email mgmt each time this is booked - select this option if you want to be notified via email each time an amenity is reserved
    • Can this amenity be reserved?
      • Yes, only one person/group can reserve at a time - selecting this option means only person can reserve the amenity at any one time. 
      • Yes, multiple people/groups can reserve at a time - selecting this option means multiple people can reserve it at a specific time. You then choose how many people can reserve using the "Max number of residents" option below. E.g. if you select 10, then that means 10 residents can reserve the amenity for example 5pm to 6pm. 
      • No - the amenity cannot be reserved
    • Max Number of residents - enter the max number of residents that can use the reserve the amenity at any one time. 
    • Limit resident usage - enter hours to limit how many hours a week max someone can use the amenity. 
    • Active Reservations per resident - enter a number if you want to limit the number of reservations a resident can make. E.g. if you enter 2, then a resident can only have 2 active reservations. Once one reservation has ended, they can make another one. 
    • Days in advance this can be booked - enter a number to limit how far in advance the amenity can be booked.
    • Opening time / Closing time - when the amenity opens and closes
    • Reservation increment - if you pick 30 minutes, then residents can reserve for 30 minutes, 60 minutes, 90 minutes etc. If you pick 1 hour, then residents can reserve for 1 hour, 2 hours, 3 hours etc. We recommend 30 minute increments for most amenities.
    • Increment Cost: if it's a paid amenity, then enter how much each increment is. 
    • Security Deposit: enter if the resident is charged a security deposit.
    • Buffer Time: selecting this option adds a buffer time between reservations. If the reservation increment is 30 minutes, then a 30 minute buffer is added after. If the reservation increment is 1 hour, then a 1 hour buffer is added.
    • Approval Needed - select this if you need to approve reservations before they are confirmed. You will be notified via email
    • Offline Payment - select this if you want to have to approve all amenity reservations and then charge the resident on your ledger rather than the resident paying via Flamingo's payment system.
    • Allow Guest - Select or unselect based on your guest policy
    • Buffer time - if you need to have buffer between reservations, e.g. to clean
